Candidate lists are lightweight recruiting groups. Use Hot for immediate focus, Watch for candidates to monitor, and Custom for a clearly named campaign, market, specialty, or follow-up purpose.
Create and maintain a list
- 01
Open Lists and create a list
Enter a clear name of no more than 120 characters and choose Hot, Watch, or Custom.
- 02
Open a candidate record
Find a candidate you want to group and select Add to list from the candidate detail page.
- 03
Choose the intended list
Confirm the list purpose before adding the candidate so temporary groups do not become misleading or duplicative.
- 04
Review the list
Open Lists to review candidate profession, specialty, state, and compliance percentage. Use pagination to inspect larger lists.
- 05
Remove stale members
Remove a candidate when the list purpose no longer applies. This removes the membership, not the candidate record.
Lists do not replace ATS status
A list membership is an organizational label. Continue to use candidate status, job applications, pipeline stages, tasks, and compliance records for their intended workflows.
Troubleshooting
The New list button is unavailable.
Likely cause: Your account lacks Manage candidate lists access.
Ask an owner to review the permission or have an authorized teammate create the list.
You cannot find an Add candidate control on the list page.
Likely cause: Candidates are added from the candidate detail page.
Open the candidate record, select Add to list, and choose the intended list.
A removed candidate still appears after the change.
Likely cause: The list view has not refreshed or the remove request failed.
Refresh the list, confirm the success notice, and retry if the candidate is still a member.
