Create and track offers

Prepare offers from approved templates, review candidate and job details, send with the required access, and record the final outcome.

The Offers workspace separates template management, offer preparation, sending, and outcome tracking. Creating or changing an offer requires Manage submittals access; sending also requires Send email access.

Prepare and send an offer

    Choose an approved template

    Select the default or applicable template and confirm that its body and supported variables match the approved offer process.

  2. 02

    Create the offer

    Choose the candidate, optional job, and template, then prepare the required offer body.

  3. 03

    Review the generated content

    Verify names, role, dates, compensation, conditions, contact information, and every substituted variable against the approved source.

    Complete approval outside InferOwl

    Follow your agency's required business and legal review. InferOwl does not replace approval of compensation terms or employment documents.

    Send the offer

    Send only after final approval. The action requires both Manage submittals and Send email access.

  6. 06

    Record the result

    Update the offer when it is accepted, declined, or expired so the shared recruiting record reflects the actual outcome.

Review templates as controlled content

Template variables reduce repetition but can also propagate an error. Limit template editing to authorized managers or owners, keep one approved default when appropriate, and re-review templates whenever terms or policies change.

Troubleshooting

You cannot create or update an offer.

Likely cause: Your effective permissions do not include Manage submittals.

Ask an owner to review your access or have an authorized manager prepare the offer.

The offer is ready but cannot be sent.

Likely cause: Sending requires Send email access in addition to Manage submittals.

Confirm both permissions and the configured email service before retrying.

A template variable is blank or incorrect.

Likely cause: The selected candidate or job lacks the expected value, or the template variable is not supported.

Do not send. Correct the source record or template, regenerate the content, and complete the approval review again.
