Build sequences and enroll candidates

Create multi-step outreach sequences, configure timing and triggers, enroll eligible candidates, and pause, resume, or stop enrollments.

Sequences organize timed outreach steps around a manual or workflow trigger. Managers and owners maintain sequence definitions and steps; authorized users can enroll candidates and manage enrollment status.

Create and operate a sequence

    Create the sequence

    Enter a clear name and optional description, then choose whether the sequence is active.

  2. 02

    Choose the trigger

    Select manual, candidate creation, stage change, or match according to the intended workflow. Confirm automatic triggers with your operations owner before activation.

  3. 03

    Add ordered steps

    For each step, set its order, delay in days, approved subject template, and approved body template.

  4. 04

    Review before activation

    Check timing, variables, candidate facts, opt-out handling, duplicate outreach risk, and stop conditions. Test with an internal or approved record when your process allows it.

    Enroll an eligible candidate

    Choose the candidate and sequence, confirm that outreach is appropriate, and start the enrollment.

  6. 06

    Monitor enrollment status

    Review whether an enrollment is active, paused, completed, unsubscribed, or bounced. Pause, resume, or stop it when the candidate state or outreach plan changes.

  7. 07

    Maintain the sequence

    Deactivate or revise a sequence when its content, trigger, timing, or policy basis becomes outdated. Re-review existing enrollments after a material change.

Automation does not remove outreach responsibility

Use sequences only for authorized communications. Honor unsubscribe, bounced, do-not-contact, consent, frequency, and retention requirements under your agency policy and applicable law.

Troubleshooting

You can view a sequence but cannot edit its definition or steps.

Likely cause: Sequence creation, updates, deletion, and step management are limited to managers and owners.

Ask a manager or owner to make the approved change.

A candidate cannot be enrolled.

Likely cause: The sequence is inactive, required candidate information is missing, or the request failed.

Confirm the sequence is active and the candidate is eligible with valid contact details, then retry once.

Outreach should no longer continue.

Likely cause: The enrollment remains active after a candidate or policy change.

Pause or stop the enrollment immediately, record the applicable contact preference, and review whether other active sequences also need action.
