Send and review recruiting email

Send candidate outreach, review AI-assisted drafts before use, and track sent, received, failed, and overage activity in the recruiting email log.

Recruiting email is sent from candidate context and recorded in the Communication email log. Recruiters see their own threads; managers and owners can review tenant-wide email activity. This workspace is separate from the managed mailbox.

Send and track candidate outreach

    Open the candidate record

    Confirm the candidate identity, email address, communication preferences, and recruiting context before starting outreach.

  2. 02

    Start an outreach email

    Use the candidate communication action to enter a subject and message. Sending is available to recruiters and managers when the email service and account checks pass.

  3. 03

    Generate a draft when useful

    Use AI-assisted drafting only as a starting point. The AI service must be enabled, and a person must review the result before sending.

  4. 04

    Review every detail

    Check the recipient, candidate and job facts, claims, tone, links, commitments, and any sensitive information. Rewrite or discard inaccurate content.

    Send the message

    Send only after confirming outreach is appropriate. Read the result before treating delivery as successful.

    Review the email log

    Open Communication > Email to review subject and body preview, delivery status, and total, sent, received, or overage counts.

AI drafts require human approval

AI-generated email may invent or misstate details. The sender remains responsible for accuracy, consent, professionalism, and compliance with agency policy and applicable outreach law.

Troubleshooting

The outreach email does not send.

Likely cause: The email service is disabled, an account balance check failed, the address is invalid, or the role cannot send.

Read the error, verify the address and contact eligibility, then ask an owner to check email configuration and account status if needed.

AI drafting is unavailable.

Likely cause: The AI service is disabled or the current role cannot request a draft.

Write the message manually or ask an owner to confirm the service configuration and access.

A recruiter cannot see another recruiter's email thread.

Likely cause: Recruiter email activity is scoped to its sender.

Ask a manager or owner to review tenant-wide email activity when permitted.
