Import candidates in bulk

Import candidate records from resumes or a spreadsheet, review duplicates and validation issues, and commit only records that are ready.

The candidate import workspace supports resume batches and tabular data. Both paths include a review step so you can identify duplicates, invalid values, and incomplete records before creating candidates.

Import a candidate batch

  1. 01

    Open Talent and choose Import

    Choose Resume Upload for PDF or DOCX resumes, or Spreadsheet Import for CSV or XLSX data.

    Add the source files

    For resumes, add no more than 20 PDF or DOCX files to one batch. For a spreadsheet, upload one CSV or XLSX file and wait for the preview.

  3. 03

    Map spreadsheet columns

    When using a spreadsheet, match source columns to candidate fields. Review the ready, duplicate, and invalid counts before continuing.

    Review exceptions

    Inspect possible duplicates, low-confidence resume results, missing names, and invalid field values. Correct the source or exclude a row that should not be imported.

    Commit ready records

    Commit the reviewed batch. Spreadsheet import creates only rows marked ready; resume batches keep items needing attention in the review queue.

  6. 06

    Confirm the outcome

    Review the completed and failed counts, then open Talent to spot-check created records before beginning outreach or matching.

Import review is part of the workflow

Treat parsed and mapped information as a working draft. Confirm candidate identity, contact details, experience, and specialties against the source before relying on the imported record.

Troubleshooting

Resume import is unavailable.

Likely cause: Your account is missing Create candidate or Upload resume access.

Ask an owner to review both permissions. Spreadsheet import requires Create candidate access.

A file is rejected before review.

Likely cause: The file type is unsupported, empty, or the resume batch exceeds 20 files.

Use PDF or DOCX resumes in batches of 20 or fewer, or upload a valid CSV or XLSX spreadsheet.

A spreadsheet row is not committed.

Likely cause: The row is marked duplicate or invalid rather than ready.

Review the row details and column mapping, correct the source value, then preview a new import.
