Manage candidate documents

Request, upload, review, version, and track candidate resumes, credentials, compliance files, and submission-package documents.

The candidate document hub keeps resumes, candidate uploads, credentials, and submission-package files in one history. Access depends on document and compliance permissions.

Manage a candidate file

  1. 01

    Open the candidate document hub

    Open the candidate record and select Documents. Review current files, outstanding requests, statuses, expiry dates, and previous versions. If no credential requirements are configured, compliance is shown as not assessed rather than zero percent.

    Request or upload a document

    Create a document request for the candidate, or upload a file directly when your account has Manage candidate documents access.

  3. 03

    Use the candidate link when appropriate

    From More, choose Request update to create a single-use link that pre-fills existing profile details and shows outstanding document requests. Send it through an approved channel so the candidate can confirm, correct, and upload information in one visit.

    Review and update status

    After a file is received, inspect it and mark the applicable status, such as verified or rejected. Add an expiry date when the credential or file expires.

    Replace without losing history

    Upload a replacement as a new version. InferOwl keeps older versions in History so the document trail remains visible.

  6. 06

    Remove only when authorized

    Delete a request or file only when it should no longer be retained and your agency's privacy, compliance, and records policy permits removal.

Handle candidate files as sensitive records

Follow your agency's privacy, consent, retention, and access policies. A document status records workflow review; it does not replace professional credential verification or legal compliance review.

Troubleshooting

The document controls are missing or read-only.

Likely cause: Your effective permissions allow viewing but not document management.

Ask an owner to review View compliance flags, Manage candidate documents, and Edit compliance records access as applicable.

A requested document still appears outstanding.

Likely cause: No received file has been attached to the request or its status has not updated.

Refresh the candidate record, confirm the candidate used the intended request link, and attach or review the received file.

An older file appears instead of the replacement.

Likely cause: You are viewing History rather than the current version.

Return to the current document view and confirm the replacement completed successfully.
