What happens at the end of a pilot?

Review the agreed measures, unresolved issues, and implementation work, then confirm the continuation decision and its terms with the responsible owner.

Before you begin

Use the account and records authorized for your task.

The end of your pilot should follow its written scope and agreement. Confirm the review date and participants with the person responsible for the pilot. This guide provides a decision checklist; it does not set automatic renewal, access, payment, or deletion terms.

Review the same workflow you measured

Compare accepted outputs and recruiter hours with the baseline using the same definition. Include correction time, incomplete work, and differences in job mix or staffing. Keep candidate experience and output quality in the review alongside speed.

Record unresolved issues

List missing evidence, connection problems, access questions, and any work that still needs a person to repair or verify it. Decide who owns each issue and whether it prevents a useful comparison.

Choose the next step

The owner can discuss continuing, changing the scope, extending measurement, or stopping. Record the reason and what evidence supports it. Agree any further implementation work and charges before treating an extension or wider rollout as confirmed.

Confirm the operational handover

Check which users and workflows will retain access, who maintains connections, and how outstanding work will be handled. Confirm any export, retention, or deletion arrangements against the applicable agreement and policies. Do not assume that reaching a review date changes these automatically.
